Beyond financial records and the business plan, entrepreneur and PR applications need many civil documents. Preparing early avoids delays.

Civil documents

From IRCC's checklist for PR applications (for example the FCIP), for you and your spouse:

  • a valid regular passport (not diplomatic or official);
  • birth certificates;
  • proof of name or birth date changes (if any);
  • marriage and divorce certificates, death certificate of a former spouse (if any);
  • national ID card and household registration (if applicable);
  • photos meeting IRCC specifications, taken within 6 months.

Police certificates

  • Judicial Record Certificate No. 2, from the Department of Justice or the Public Service Portal.
  • Needed for each country you lived in for 6 months or more since age 18.
  • Usually valid for 1 year from issue.

Medical exam

With an IRCC panel physician when requested. People who lived in Vietnam 6 months or more in the past year and plan to stay over 6 months need an immigration medical exam.

Education and language

  • Diplomas and transcripts; an educational credential assessment (ECA) if the province requires one (for example Alberta, Newfoundland and Labrador).
  • Results of IRCC-accepted language tests (CELPIP, IELTS General, PTE Core, TEF Canada, TCF Canada), under 2 years old.

Business experience

  • Business registration, charter and ownership percentages over the years.
  • Financial statements, tax finalizations, major contracts.
  • Proof of management roles and staff numbers.

Translation and certification

According to IRCC, documents not in English or French need:

  • an English or French translation stamped by a certified translator (showing their membership number), or an affidavit from the translator if a certified translator isn't available;
  • a scan of the original or of the certified copy the translator worked from.

Your family members and your representative can't translate your documents.

Note Names and birth dates must match across all documents. Even small discrepancies should be explained or corrected before you apply.
